This article describes features associated with SSProtect :Email Outlook message protection.

Introduction
:Email
 is a Microsoft Outlook Add-In that securely communicates with the :Foundation Client to provide protection for email message content. The software is designed to seamlessly apply protections and present native decrypted content for authorized users. This is done by prompting for required credentials, as needed - limited to the normal Session-based SSProtect Login Password and optional two-factor authentication operation. For details, refer to the articles in the :Access Topic of this support site.

Review the Getting Started with :Email article, then utilize the About button in the :Email ribbon Control Group to access the graphic Tutorial. The remainder of this article assumes you have reviewed this content.

Inline Message Operation
The ribbon controls for protecting and managing message content are not available when working with inline messages - that is, viewing a message in the Preview Pane and choosing the Reply/ Forward controls directly above the address information. Use the Popout button to open a new, independent window, which then presents the ribbon control that contains the additional :Email control group you can use to manage protections.

As a result, inline message replies, even to encrypted content, apply limited Policy controls - and are otherwise sent in the displayed format with your unencrypted text reply. This may change in a future release, though until that time, work with the Popout format to take advantage of full :Email capabilities. You may need to adjust your Outlook default view to align with your tendencies. Check with your relevant IT Administrator(s) for details.

Sent Items and Shared Content
Some mail security applications require that you individually manage or track recipients with security primitives (recipient public keys), complicating your ability to review content you've sent to authorized recipients. With :Email, so long as you meet authentication requirements with a valid, authorized SSProtect Account, you can access any content you send to others. For more details, refer to the section, In-Place Protection, below.

Message Formats
:Email
protects all Outlook message formats, including fully formatted HTML, which is specialized with custom extensions to provide a rich user experience. Though some Add-Ins first require message content to be converted to Outlook plaintext (unformatted) format, SSProtect retains all formatting, inline images, and attachments native to your original content. As such, switch from plaintext to Rich Text to HTML as you see fit - :Email will track, manage, retain, and present original formatting for decrypted viewing.

If you encounter any issues with format restoration, send details to our Support team, as noted at the end of this article; any deviation from native display is unintended and will be addressed.

Inline Images and Compression
:Email retains all inline images (and associated formatting). Content is compressed for efficiency, and decrypted message content is displayed in native form. The software supports all image formats available for Outlook inline rendering.

Tracking Threads
Outlook tracks email threads by Subject, however SSProtect :Email tracks through Subject changes to retain Policy settings. As a result, changing the Subject Line will not remove the Policy stipulations associated with the message thread. This, like automatic re-encryption of a protected message (when replying or forwarding), helps maintain the original author's intent without the potential for human error that can expose an entire thread of plaintext content.

Concurrent Messages
:Email
 
manages individual messages independently, and will retain Policy settings when multiple messages are opened at the same time - whether from the same protected thread or from independent protected threads.

Cache Protection
Outlook stores Attachment content in a specific set of system folders, which remain protected* when SSProtect is running. If the :Foundation Client is shut down, you will not be able to access protected messages (or Attachments). This minimizes exposure. For details, speak to your Administrator or contact our Support team as noted below.

* If you installed the Alternate Package without the filesystem driver for In-Place Encryption, these storage areas are NOT protected.

In-Place Protection
You can choose any Outlook message in any folder of your related Account's Folders, open the item in a Popout Window, then choose the, Protect Now button to protect content. Access is then the same as with received protected content - open the protected message and provide the required credentials to render native plaintext data. When you close the item, it will return to encrypted text unless you choose, Release Protections. This option is in fact available for any protected item, not just those you In-Place Protect.

As with other Outlook messages, all native formatting is retained throughout, including inline images. Attachments are protected as per Policy, which will be further explained in an article to be made available shortly.

Limitations

:Email utilizes native SSProtect capabilities through use of the :Expand command line interface. The C# .NET Add-In does not perform any security functions, instead utilizing the more secured instantiation of native capability offered by the :Foundation Client's use of KODiAC Cloud Services.

a:Email content is as a result similar to protected files managed by SSProtect, though content is not currently integrated with :Recover for backup and restoration. Managed messages are also not displayed in the Managed Files/ Restore dialog that enumerates managed files, and :Access Reporting does not currently show :Email content processing.

Future updates to :Email and the :Foundation Client will provide enhanced integration of protected Messages and Threads.
